General Rules for Soul FILMFest 2009

1. Entries must be films which are original, undistributed works produced, written and/or directed by the submitting filmmaker. Entry of works submitted any previous Film Festivals is not permitted.

2. The submitting director/filmmaker must be directly responsible for the creative control and direction of the project. Collaborative efforts may be recognized and acknowledged, but only the submitting director/filmmaker will be awarded any applicable prize.

3. All entries using copyrighted material (sound or picture) must obtain proper clearances and permission to use the material. Documentation showing this clearance and permission must be submitted with the application. Examples of copyrighted material may include: popular music, stock footage and still photographs. It is the Filmmakers responsibility to obtain rights, clearances and permission. The Soul FILMFest assumes no responsibility for violation of copyright law.

4. Obscene, pornographic or violent material is not allowed under any circumstance. The enforcement of this rule will be at the discretion of the Soul Film Fest advisory board.

5. Submission of an entry automatically allows the Soul FilmFest to use your entry for promotional or educational purposes, unless participant objects to additional promotion on entry form. The Soul FilmFest in no way guarantees the return of any entry material.

6. New Sound International (Soulfest) will retain the rights to all submitted material unless otherwise noted on the registration form. Should entrant wish to retain the rights of the material, New Sound International (Soulfest) will destroy all copies of the DVD submission immediately after the EVENT. Be sure to keep a copy of your work!!!

7. No entry will be considered unless the entire entry form is completed. If you are entering more than one project, you must submit a separate, completed entry form for each one.

8. Each entry must be accompanied by the following:
1. $50 non-refundable entry fee by check made out to NEW SOUND INTERNATIONAL or credit card information for payment (see registration form)
2. a 100 word or less synopsis of the filmmakers intent
3. appropriate clearances or rights if necessary
4. 2 DVD-r copies of your film in high-resolution QuickTime file.(NO LATER THAN JULY 7TH. 2009)

9. Entrants shall indemnify, defend and hold the Festival, related partners, its agents and its representatives harmless from and against any and all claims, damages, costs, liabilities and expenses which may be incurred by reason of any breach of these representations, or arising out of any matter contained in the media or otherwise by the Festival’s use of the media.

10. Entries may be disqualified for the following reasons:
1. Inappropriate material
2. incomplete application materials and documentation
3. entries which are submitted at incorrect entry levels or categories
4. entries which have been submitted previously to other Film Festivals
5. no application fee enclosed with the entry

11. In the case of disqualification, an attempt will be made by the festival staff to contact the entrant. This will allow an opportunity for the disqualification to be remedied. Entry fees, under these circumstances are non-refundable.

12. In case of questions, disputes or misunderstandings: the decisions of the Directors of the Festival are final.

13. In the event there is a less than adequate number of entrants, NSI and its sponsors of this event retain the right to cancel the event. Should the event be cancelled under these circumstances only, NSI and its partners will provide a refund of entrance fees collected.

Eligibility

Students are eligible to enter the respective student levels. Persons who are not students and are not working professionals in the TV and/or Film profession are eligible to submit entries.

Entry formats:
The only format accepted for the Soul FILMFEST 2009 is a Quick time(MOV.) file on a DVD-r . Two (2) copies in the highest quality suggested are required. If you are submitting both a 1 and a 5 minute short, you should place both files on each DVD-r and remember to submit two (2) entry forms and two (2) entry fees. They must conform to the National Television Standards Committee (NTSC) specifications. Entries with soundtracks must be in English or have English sub-titles. Soundtracks may be mixed in any manner the filmmaker wishes. All entries will be presented as two-channel, conventional stereo soundtracks.

DO NOT SEND YOUR ONLY COPY OF YOUR PRODUCTION. DO, HOWEVER, SEND A HIGH QUALITY COPY OF THE FILE.
